Explaining how AI.Prof collects, uses, discloses, and safeguards information when you use our modular AI hiring intelligence platform.

This Privacy Policy explains how AI.Prof ("AI.Prof," "we," "us," or "our") collects, uses, discloses, and safeguards information when you use our modular AI hiring intelligence platform (the "Platform"), including our website, dashboard, and related services.

This Policy is written primarily for the companies and hiring teams ("Customer," "you," "your organization") that sign up for and use the Platform. A separate section addresses data relating to job candidates who interact with the Platform through a Customer's hiring process, since Customers act as the data controller for that candidate data in most cases, and AI.Prof acts as a data processor on their behalf.

1. Who This Policy Applies To

  • CustomersCompanies, HR teams, recruiters, and hiring managers who create an AI.Prof account, configure features, and use the dashboard.
  • Candidate data processed on behalf of CustomersResumes, project submissions, interview recordings, coding assessment results, and related evaluation data that Customers collect through the Platform from their own job applicants.
Where AI.Prof processes candidate data on behalf of a Customer, AI.Prof acts as a data processor, and the Customer is the data controller responsible for that candidate's data under applicable law. Candidates with questions about how their personal data is used should generally contact the company they applied to, not AI.Prof directly, unless otherwise stated in that company's own candidate-facing notice.

2. Information We Collect

2.1 Information Customers Provide Directly

  • Account and company profile information (company name, industry, size, billing details)
  • Team member information (name, email, role, access level)
  • Role configuration data (job descriptions, evaluation weights, thresholds)
  • Integration credentials for connected ATS/HRIS systems, where applicable

2.2 Candidate Data Processed on Behalf of Customers

When a Customer enables relevant features, the Platform may process:

  • Resume and profile data (name, contact details, work history, education, skills)
  • Links to GitHub repositories, portfolios, and other submitted work
  • Project submissions, source code, and deployment artifacts
  • Interview data across text, voice, and video modalities, including recordings and transcripts
  • Coding assessment submissions and results
  • Responses to values and behavioral assessment questions
  • AI-generated scores, evaluations, and evidence summaries

2.3 Information Collected Automatically

  • Usage data (pages visited, features used, session duration)
  • Device and browser information
  • IP address and approximate location
  • Cookies and similar tracking technologies (see our Cookie Policy)

3. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Platform and its enabled features
  • Generate AI-driven evaluations, scores, and evidence reports configured by Customer
  • Power Customer's hiring dashboard, analytics, and reporting
  • Communicate with Customers about account, billing, and Platform updates
  • Improve & develop Platform & AI models using aggregated or de-identified data
  • Detect, prevent, and address technical issues, fraud, or misuse and comply with legal duties
Human-in-the-Loop Guarantee: We do not use candidate data collected on behalf of a Customer to make autonomous hiring decisions. The Platform surfaces evidence and scores; the final hiring decision remains with the Customer's human reviewers.

4. AI Processing and Automated Evaluation

The Platform uses AI models to analyze resumes, code repositories, project submissions, interview responses (text, voice, and video), and behavioral assessment answers, based on evaluation criteria and weights that each Customer configures.

  • Customers control which evaluation features are active and how heavily each dimension contributes to a candidate's score.
  • Every AI-generated score is intended to be traceable back to the underlying evidence reviewed.
  • AI Fluency, Values Assessment, and similar composite scores are generated automatically from evidence gathered elsewhere in the process, based only on the features a Customer has enabled.
  • Human reviewers retain the ability to override any AI-generated recommendation at any point.

Where required by applicable law (including provisions relating to automated decision-making), Customers are responsible for providing candidates with any legally required notices about automated processing used in their hiring process, and AI.Prof will provide reasonable assistance to support that compliance.

5. Video, Audio, and Sensitive Data

Certain features (such as the Unified Multi-Modal AI Interview) involve recording video and audio of candidates, and may involve processing of information that some jurisdictions classify as sensitive or biometric-adjacent data (e.g., voice and facial characteristics used for behavioral or communication scoring).

  • Video and audio recordings are used solely to generate the evaluation scorecards and evidence configured by the Customer for that role.
  • Customers are responsible for obtaining any legally required consent from candidates before enabling video/audio interview features, and for providing candidates with notice consistent with applicable law.
  • No Unconsented Model Training: AI.Prof does not use candidate video, audio, or biometric-adjacent data to train models for use outside the Customer's own account, except where a Customer has separately and explicitly opted into a model-improvement program.

6. How We Share Information

We do not sell personal information. We may share information with:

Service providers: who help us operate the Platform (e.g., cloud hosting, coding sandbox execution, transcription, and video processing providers), under contractual confidentiality and data protection obligations.
The Customer's own team members: based on the access roles the Customer configures (Admin, Recruiter, Hiring Manager, Viewer).
Connected ATS/HRIS systems: where a Customer has enabled an integration.
Legal and regulatory authorities: where required by law, or to protect the rights, safety, or property of AI.Prof, our Customers, or others.
Business transactions: in connection with a merger, acquisition, or asset sale, subject to standard confidentiality protections.

7. Data Retention

  • Customer Account DataCustomer account and configuration data is retained for as long as the account remains active, plus a reasonable period afterward for legal and operational purposes.
  • Candidate Evaluation DataCandidate data (resumes, project submissions, interview recordings/transcripts, scores) is retained according to the retention settings configured by the Customer in the Interview & Evidence Library and related settings, subject to any minimum or maximum retention periods required by applicable law.
  • Deletion RequestsCustomers may request deletion of candidate data in accordance with their own obligations to candidates; AI.Prof will support such deletion requests as the data processor.

8. Data Security

We implement technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction, including encryption in transit, access controls, and role-based permissions within the Customer dashboard. No system is completely secure, and we cannot guarantee absolute security.

9. International Data Transfers

Where information is transferred across borders (for example, from a Customer's location to servers or service providers located elsewhere), we take steps intended to ensure such transfers comply with applicable data protection law, including the use of appropriate contractual safeguards where required.

10. Your Rights

Depending on your jurisdiction (including under India's Digital Personal Data Protection Act, 2023, the EU/UK GDPR, and similar laws), you may have rights to access, correct, delete, restrict, or port your personal information, and to withdraw consent where processing is based on consent.

For CustomersCustomers may exercise these rights for their own account data by contacting us at support@hitloop.org.
For CandidatesCandidates should generally direct such requests to the company they applied to, as that company is the data controller for their application data. Where AI.Prof receives a candidate request directly, we will route it to the relevant Customer and support fulfillment of the request as required by law.

11. Children's Privacy

The Platform is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised "Last Updated" date, and where changes are material, we will provide additional notice as appropriate.
